What information should I have handy when inquiring about a tent rental?
Please provide me with the details of your event so I can answer your questions accurately. We need information such as:
* Date of the event: (e.g., July 15, 2025)
* Location of the event: (e.g., specific address or venue name and city/state)
* Number of people you are trying to accommodate beneath the tent: (e.g., 100 guests)
* Seating arrangements: Are you expecting all guests to be seated at the same time for a meal or other activity?
*Additional space needs: Do you require space under the tent for any of the following?
Bar
Buffet
Dance floor
DJ or band
Sweetheart table
Gift table
Other (please specify)
* Tent surface: Will the tent be set up on grass or another surface?
* Staking permission: If the tent is not going on grass, are we permitted to put holes in the ground for stakes?
* Distance to electricity: How far is the nearest source of electricity from the tent’s intended location?

I rented items for the weekend but only used them for an hour, Do I get a discount?
All of our equipment is charged based on time out, not time used. Consequently, while equipment is in the possession of one client, it is unavailable for rental to others.
When do you deliver and pick up?
Generally, for most weekend events, we aim to deliver the Thursday or Friday beforehand. However, depending on weather and the time of year, your rentals may arrive as early as the Wednesday prior and be picked up as late as the following Wednesday.
Is my area large enough for a tent?
Add 10 ft. to the length and width of the tent to allow for the straps and stakes.
The tent will perform better if it’s on flat level ground but the tent will lay with the land if it is not flat. Tents can be put up on grass, gravel, asphalt, and concrete. Fees will be applied for blacktop drilling and plugging along with concrete anchoring. Be sure to let us know the surface of your area. Site inspections can be done for a small fee. This fee will be taken off of your rental cost if you book with us.
can i get a charitable discount?
We offer a discount program for charity and fundraiser events. To request a discount, please ask your sales consultant for the required form. Please note that availability is limited and a discount is not guaranteed. The completed form must be submitted 60 days prior to your event date for consideration.
What primary services do you offer?
Event equipment rentals. We install and take down commercial tents.
What do you specialize in?
We specialize in tents, tables, and chairs, handling the complete setup and tear down of party tents. Beyond this, we also offer linens, a mobile bar, and a wide range of other party essentials.
Can you set up a pole tent on asphalt?
Yes, we can set up a pole tent on asphalt with an additional cost for drilling. However, we do not set up pole tents on concrete.
How far in advance should I book my event?
We recommend booking your event as soon as you have a confirmed headcount to guarantee rental availability. We book out as far as two years in advance, so reserving sooner rather than later is always best.
What is included in my tent rental?
The price includes setup and takedown for the event. Setup days are Wednesday, Thursday, and Friday, depending on your delivery area. Takedown will occur on Monday or Tuesday. An additional fee may apply for weekend or after-business-hours setup or takedown.
What are your terms and conditions?
All our terms and conditions will be listed in the contract you are asked to sign at the time of deposit. You can also review our contract here.
What are your rates?
All of our tent rental prices include the labor to set it up and tear down. How ever there is delivery cost added. Additional on-site labor is charged $100/hr.
Are you licensed and insured?
We are owned/operated by Nightlife Beats Entertainment LLC and are fully insured.
